Additional terms & conditions for functions at Hazeldene yarra valley

These conditions are additional to Hazeldene's General terms and conditions

• Function bookings are also subject to accommodation rates and to the minimum stay terms as described in Hazeldene's general terms and conditions.
• For functions involving outside equipment hire, such as a marquee, there is a minimum reservation of 3 nights.
• The maximum number at a function at Hazeldene is limited to 120 people.
• Function bookings are subject to a function facility fee based on the number of guests invited.

Functions for over 20 people must:

• hire party equipment, including tables, chairs, tableware, crockery, cutlery and glasses
  (the dishwasher must not be used for party equipment)
• notify Hazeldene for approval of caterers and other suppliers who must provide a current certificate of indemnity for public liability insurance

Functions for over 40 people must, in addition to conditions above, must:

• include hire of portable toilets
• not use the pool area, including the changing rooms and toilets
• utilise shuttle buses
  (buses should be able to negotiate the narrow and steep driveway)

Confetti

• The use of confetti or rice within the grounds is prohibited. We suggest bubbles, rose petals or naturally coloured pot pouri and ask that it is used outside the building only. Please advise your guests of this policy.

Amendment or replacement of these terms and conditions

Hazeldene reserves the right to amend or replace these terms and conditions without notice.

Any use of your information will be consistent with your directions. If information is required to be disclosed by law, we will only disclose necessary information. You may access your personal information by prior written request. We will comply with all reasonable requests to have inaccuracies corrected.

The following terms and conditions govern the terms of your stay at Hazeldene yarra valley (Hazeldene). You are encouraged to read these terms and conditions completely and carefully. By making a reservation with Hazeldene and by completing your stay at Hazeldene you will be deemed to have agreed to these terms and conditions. A person is required to be 25 years or over when booking Hazeldene and will be held responsible for these terms and conditions.

General terms

Accommodation rates

Included within the nightly accommodation rates are

• Bed linen
• Bath towels

• Pool towels

• Use of swimming pool (heated from October to April), heated spa and sauna
• Use of tennis court (equipment not provided)
• All rates are quoted in Australian dollars.
• All rates are inclusive of the Goods & Services Tax (GST), currently 10%, as mandated by Australian law.
• Hazeldene reserves the right to vary the rates at any time.

When you arrive

• The on-site caretaker will arrange to meet you at check-in with the key for Hazeldene. Please return this to the caretaker upon your departure. Hazeldene reserves the right to charge for replacement keys if you fail to return keys (including room keys) on your departure.
• Hazeldene operates a no smoking policy. We kindly ask you to refrain from smoking within the house, on balconies and around the pool area. Please thoughtfully dispose of cigarette butts in the appropriate bins. Evidence of smoking found in the house or the grounds, will result in additional charges, such as for clearing up discarded cigarette butts.
• Diving in the swimming pool or spa is not allowed. Children must be supervised at all times by an adult when around the pool or spa areas. You must be 18 years or over to use the sauna.
• No alcohol and strictly no glass is to be taken into the pool, spa and surrounding area. Evidence that glass has been taken into these areas will result in additional charges.
• Furniture must not be moved without prior permission from Hazeldene.
• Non-resident guests shall vacate the premises by 6pm for lunch functions and by midnight for evening functions.
• Up to 3 site visits of up to half an hour each, can be arranged before the date of your stay. Site visits must be by prior arrangement with Hazeldene and must be accompanied by a Hazeldene representative.
• Extreme care should be taken around the lake. Children must be supervised at all times by an adult when around the lake. Guests are not permitted in, or on, the lake and activities such as swimming, paddleboarding or boating are strictly prohibited. Any activities near the lake are conducted at your own risk.
• No pets or other animals are permitted in the buildings or the grounds of Hazeldene without written permission. Assistance dogs are exempt from this requirement.
• Under no circumstances are fires to be lit outside on the property and fireworks are strictly prohibited.

Accommodation terms

• Hazeldene can provide overnight accommodation for a maximum of 16 people in 8 double/twin bedrooms in accordance with licensing requirements. Additional overnight guests are strictly prohibited.
• Camping, including staying in caravans or camper trailers, is not permitted on the property.
• Accommodation in the vicinity of Hazeldene for additional guests can be suggested at the time of booking.
• A minimum of two nights' accommodation is applicable at weekends, a minimum of 3 nights' accommodation applies over public holiday weekends and at Christmas and a minimum of four nights' accommodation is applicable at Easter.
• Check-in time is after 3.30pm.
• Check-out time is before 10.30am. Hazeldene reserves the right to charge for an additional night's accommodation where check-out is after 10.30am.
• Hazeldene will be cleaned before check-in and weekly thereafter if your stay is for 8 nights or longer. Should you require a more frequent housekeeping service, this can be arranged for an additional charge

Payment & cancellation terms

• Payments can be made by direct payment to our bank account, Visa or Mastercard.
• A minimum deposit of 50% of the accommodation cost is required to confirm the reservation.
• The balance of full payment for the accommodation/function is required by no later than 30 days prior to the date of your stay.
• Cancellations must be made in writing by email. Any cancellations will not be effective until received by Hazeldene, irrespective of when the cancellation is actually sent.
• Refunds for cancellations made more than two months prior to your reservation date will be subject to a 10% booking and administration fee (10% of total accommodation cost).
• Cancellations made less than 2 months prior to your reservation date will be subject to payment in full of the balance of your accommodation cost (this may be reduced if we are successful in re-booking the dates reserved).
• Hazeldene highly recommends you take out comprehensive travel insurance, as you are liable for any costs for cancellation of your reservation.

Conditions of your stay at Hazeldene yarra valley

• You agree to leave Hazeldene in the condition in which you found it.
• You agree to inform the caretaker of any breakages to or loss of equipment or damage to the property or surroundings, you or your guests cause to Hazeldene.
• You agree to Hazeldene taking details of your credit card prior to your arrival as security for any additional accommodation charges or any repairs, replacements or extraordinary cleaning which is found necessary as a result of your stay at Hazeldene. Where a credit card is not available a bond of $500 is required.
• You agree to Hazeldene debiting your credit card or retaining part or all of the bond for the costs of any additional accommodation charges or for repairs, replacements or extraordinary cleaning which found necessary as a result of your stay at Hazeldene. If requested, we will provide an invoice of any such charges.
• Hazeldene reserves the right to ask you or any of your guests to leave Hazeldene for e.g. noisy, offensive or unruly behaviour; improper or unseemly conduct; damage to or loss of property; or if a crime has been committed or where there is suspicion of a crime being committed. If your stay is shortened for reasons included in this clause, there will be no refund or compensation.

Damage to or loss of property

• Hazeldene will not be liable for damage to or loss of your property including vehicles or their contents (unless the loss or damage was caused by some default, neglect or wilful act by Hazeldene).
• Hazeldene's liability for property with Hazeldene for safekeeping that is damaged or lost while it is being so held, is limited to $2,000 (unless the loss or damage was caused by some default, neglect or wilful act by Hazeldene).
• If the damage to or loss of your property is found to be due to Hazeldene's default, neglect or wilful act, liability is limited to $100.
• Guests must not enter areas of Hazeldene which are indicated as being closed to the public. Hazeldene will not be responsible for death, personal injury or loss or damage to property suffered as a result of entering such areas.

Amendment or replacement of these terms and conditions

Hazeldene reserves the right to amend or replace these terms and conditions without notice.

We had a girls weekend get away - this property was fantastic. Everyone could relax in their own space or enjoy each others company in the cozy lounge areas with the open fire place.

Hazeldene is a fantastic gem so close to Melbourne and a great way to to get away and unwind without leaving the country.

Hazeldene is one of the most peaceful, beautiful places I have been. The landscape is gorgeous, and so very peaceful. You could be at the end of the earth was it not for the fact that our favourite wineries are so close.

The best weekend away we could remember. The only decisions we made were what to do.
